Privacy Policy

Information about privacy when you browse this website or send us an enquiry.

Your information & this website

1. About this policy

This Privacy Policy explains how information is handled through the PHMAYON website, including browsing our destination guides and sending a website enquiry.

PHMAYON is an independent destination information website focused on Mayon Volcano and Albay, Philippines. Questions about this policy can be submitted using the contact details at the end of this page.

2. Information you choose to provide

Our contact form requests your name, email address, message subject and message. Your message may contain additional information that you choose to share.

For a correction or image rights enquiry, this may include a page address, a reference or information explaining your connection to the material.

Please provide only information relevant to your enquiry. Do not send passwords, payment card details or sensitive identity documents through the general contact form. Avoid including another person’s personal information unless it is necessary and appropriate to do so.

3. Technical information

Website hosting, security and email systems may process technical information such as connection addresses, request times, browser information and delivery records. The information available depends on the services configured for the website.

The contact form creates a keyed hash from the connection address reported by the server. This temporary value is used to limit repeated submissions for approximately 90 seconds. It is separate from any logs maintained by hosting or security services.

The theme also uses a WordPress form verification token to help check that a submission came through the website form.

4. How enquiry information is used

Information submitted through the contact form is used for purposes connected with your enquiry, including:

  • Reviewing and responding to website questions.
  • Assessing content corrections and image rights requests.
  • Following up where clarification is needed.
  • Maintaining relevant correspondence.
  • Investigating misuse or technical problems.
  • Meeting applicable obligations where required.

Sending an enquiry does not subscribe you to a newsletter or marketing list. The theme does not add contact form submissions to a marketing service.

5. Contact form delivery

Messages are passed to the website’s configured email system and addressed to the designated website recipient. Your email address is included so the recipient can reply.

The theme does not create a separate WordPress database archive of the full enquiry. However, messages may remain in recipient mailboxes, email delivery systems, backups or logs, depending on the services in use.

A successful submission notice means that the website email system accepted the message for sending. It does not guarantee delivery to a particular inbox.

6. Service providers and access

Providers supporting hosting, email delivery, security, maintenance or backups may process information as part of operating those services.

Access may also be needed by people responsible for reviewing enquiries or maintaining the website. Information may be disclosed where required by applicable law.

Depending on the providers configured, information may be processed outside the country from which you contact us.

7. Retention

Relevant correspondence may be retained while an enquiry is being handled and for an appropriate period afterwards for recordkeeping or applicable obligations.

Retention can differ between mailboxes, logs and backups. Deleting a message from an active mailbox may not immediately remove it from all backup copies.

8. Cookies and optional services

The theme does not include advertising or visitor analytics scripts by default. Additional plugins, embedded content or hosting services may introduce other processing.

Read our Cookie Policy for information about browser storage and the effect of configured services.

9. External websites

Our guides may link to official information sources and other external websites. Following a link takes you to a service operated under its own terms and privacy practices.

Review the policies of the external website before submitting information or using its services.

10. Information security

Security depends on the website, its configuration and the services used to operate it. No website, email system or transmission method can guarantee absolute security.

Keep sensitive information out of general enquiries. If supporting documents are needed, ask about an appropriate method before sending them.

11. Requests about your information

Contact PHMAYON if you have a question about information you submitted or wish to request access, correction or deletion where applicable.

Describe the request and provide enough context to identify the relevant correspondence. Verification may be needed before information is disclosed or a request is completed.

The response to a request may depend on applicable requirements, the information available and any obligations to retain it. Do not send identity documents unless an appropriate verification method has first been agreed.

12. Children’s information

The general contact form is not intended to collect personal information from children. A parent or guardian who believes a child has submitted information can contact us to request a review.

13. Policy changes

This policy may be revised when website features or information handling practices change. Review this page when you want to understand the published policy that applies to using the website.
